i.How it works

Three steps, and most of them are done for you.

  1. Bring in a statement or a receipt

Drop in a CSV or PDF from your bank or card, or snap a receipt. Anything you already recorded by hand is flagged, so nothing gets counted twice.

  2. Approve what needs you

Each uncertain transaction becomes one card. Approve it, fix it, or dismiss it. Next time, it remembers.

  3. Send invoices, see profit

Invoice a customer, mark it paid, pay a bill. Your profit for the month is on the front page, in plain words.

ii.What's inside · available today

Everything a small shop needs. Nothing it doesn't.

A review queue, not a bookkeeping screen

Every transaction the app isn't sure about becomes a single card with its best guess and how confident it is. Everything else is already sorted.

Snap a receipt

Take a photo. Store, date, tax and total are read for you to check, then filed against the expense.

It remembers

Approve a supplier once and it arrives pre-filled next month. Add your own rules for the rest.

Import, don't connect

CSV or PDF statements, no bank passwords. Duplicates are caught, and a PDF is checked against its own closing balance.

Invoices, bills, reports

Send, get paid, pay bills. Profit and loss, balance sheet and aging always add up.

Jobs and estimates

Quote a job, turn the yes into an invoice, and see revenue, costs and margin job by job.

Ask your books

“Which jobs lost money?” Answers come from your real numbers and show the source. A figure it can't trace gets flagged.

Tax-time ready

A readiness score that says exactly what to fix, possible deductions, and one download for your accountant.

Invoices that get to the customer

Send an invoice as a PDF and a private link by email, see when it was opened, and get a ready-to-edit reminder for the late ones. Add sales tax, or a credit note when a price changes.

Recurring invoices

Retainers and maintenance plans make a draft each cycle. You check it and send it; nothing goes out on its own.

What a job really earns you

Log your own hours and mileage on each job, kept beside your books, and see the profit after your own time. Bill the hours in one click.

Alerts and a Monday summary

Late invoices, bills coming due, double charges, subscriptions and price increases, found by fixed rules rather than guesswork.

Real double-entry books underneath

You never have to see a journal entry. But your accountant can: every transaction balances, posted entries can't be quietly edited (mistakes are reversed, not erased), and every change is logged.

iii.Why you can trust the numbers

Four promises, built into the system itself.

  • Your totals come from your books.Totals are added up from your recorded entries, never estimated by a model. Suggestions are labeled as suggestions.
  • Nothing changes without your OK.Sorting suggestions wait for you. Nothing lands in the books until you approve it.
  • Mistakes are reversed, not erased.Posted entries can't be edited, so your history stays honest and auditable.
  • Your business is walled off.The database itself keeps each business's records separate from every other.

How we protect your books

iv.On the way

What we're building next.

  • Card and bank payments on invoicessoonLet customers pay from the invoice link, and see the payment land in your books.

v.Questions

Straight answers.

Do I need to know anything about accounting?

No. You'll never see a chart of accounts or a journal entry unless you go looking. You see plain questions: is this a business expense, which job was it for, has this customer paid. Underneath, it's proper bookkeeping.

Does it connect to my bank?

No, and that's deliberate. You download a CSV or PDF statement from your bank or card and drop it in, so there's no bank login to hand over and no linked account to worry about. For PDFs, I check that the transactions add up to the statement's own closing balance before you approve anything.

Is the AI making up my numbers?

No. AI reads your receipts and statements and suggests categories, but every suggestion shows how sure it is, your own rules and past choices always win, and nothing lands in your books until you approve it. Every figure is checked with plain arithmetic, and the assistant answers only from your books and flags any figure it can't trace.

Who sees my receipts and statements?

When you upload a receipt or a PDF statement, or ask the assistant a question, that content is sent to Anthropic's Claude to be read and answered. Your original files are stored with your books. CSV imports are read on our own servers and don't go to an AI.

What about my accountant?

The books are real double-entry, so any accountant can work from them. One click prepares a package: your reports, ledger, expenses and invoices as spreadsheets, a list of open questions, and every receipt photo. You can also invite your accountant with their own login: view-only, or able to review and close the books. They can ask questions right in the app, and take the numbers as an Excel workbook or as files for Xero or QuickBooks.

Is my data safe?

Passwords are stored hashed, traffic is encrypted, each business's data is walled off at the database level, and every change is logged. LedgerAI is early and hasn't had an independent security audit yet. The security page has the details.

Who is it for?

Small service businesses with one to twenty people: plumbers, electricians, HVAC, landscapers, cleaners, photographers, consultants. Each trade starts with a chart of accounts that fits how it earns and spends.
